Organization
Modular TeamsEach of the modular teams and their associated work group members will be expected to devote a significant portion of their work assignment to the ERP implementation. These teams have direct responsibility for the success of the ERP implementation but, just as importantly, they have the first line of responsibility for resolving data value conflicts, business process redesign, and working to create a fully integrated system. Each team is comprised of area specialists for the areas covered by the module. These teams will meet continually with the vendor functional consultants and their associated work teams to assure that each modular project and related subprojects stay on schedule and on budget. The modular teams will be lead by co-chairs; a functional area specialist and a technical co-chair from ITD. It is the joint responsibility of the modular co-chairs and the vendor consultant assigned to the team to assure that a project plan is created and followed and that training is received and understood by every team member. Each of the modular teams also has the responsibility for defining the reporting required within their area of implementation. Among these teams, the first three listed below (Data Quality, Technical, Portals and Interfaces) have responsibilities that span the responsibilities of the other modular teams. Thus, their charges reflect the broader responsibility. Modular Teams Work TeamsWork Teams are composed of subject matter experts on university procedures and they should be familiar with how particular functions are performed at the university and be able and willing to question current practices and recommend new procedures to adopt "best practice" approaches. These members will perform the work as directed by their module team and will become the future university trainers for their areas of expertise. Work groups will meet almost daily after work begins on their respective module. Members of the work groups will receive formal training from the ERP vendor with additional "hands-on" training provided by the vendor functional consultants assigned to each module. Work group responsibilities include: planning the systems conversion as smoothly as possible; building the partnerships and collaborations that will be required for success in the new relational environment; reviewing current practices, processes and procedures; recommending changes as needed; developing, reviewing, and implementing conversion plans. These groups will also design required reports provide research support for issues and problem resolutions and create documentation as required for the new systems.
